Follow Up Form / Reporting Dates

When you fund a program, how do you determine the due dates for follow ups?

I work for a Community Foundation that makes grants four times a year and requests an interim (6 month) report and a final (12 month) report in follow up forms.

We made a grant to a nonprofit in June 2022, so their interim report was due December 2022 and the final report will be due June 2023. The nonprofit's fiscal year is October to September, so for the interim report they submitted program achievements from 10/1/2021 - 9/30/2022, of which we only funded three months. The nonprofit would like to reapply for funding in June, but their final report (which has to be submitted before they can reapply for funding) won't have all completed data for the 2022 - 2023 fiscal data. They don't collect monthly data, so they are unsure of what to submit for their final report.

The above is a pretty specific example, but all comments/best practices around due dates for follow ups and questions asked in follow up forms are welcome! If a phone call is easier, I am available for a chat as well.
