Hi there. Sounds like you need a database manager and/or someone tasked with that as part of their current job! I am the part-time Finance director and database manager - mostly because I gravitate toward database work. I am tasked with keeping up with updates/changes and disseminating the information. We have 1 FTE and 2…

We are a small CF, 1 FTE, 2 PTE - I am the finance director and database manager. It's hard for us to use and implement all the extra public facing tools that CSuite offers. We do use the Fund Portal - the information we enter obviously updates in the portal automatically. We post quarterly fund statements in the portal…

PS - we DO NOT close for a week ever so we are not one of those Foundation! :)

Yikes that's a hard one. I use support for Foundant almost weekly - it would be difficult if they were unavailable for a full week (and then had to bury out of requests). At the same time- I totally believe in full shut downs where EVERYONE can be off! I think the only week that has ever made sense in my work in nonprofits…

Hi Kelley. Our letter only communicates the upcoming spendable distribution. We do remind them that if they have questions about their current spendable, they can contact us (but we don't include the current spendable amount in the letter). The letter is ran OUTSIDE of CSuite. Yes, I run the spendable in Sandbox to obtain…

Here are a few things to that come to mind: We did a major cleanup of our funds - fund groups (types), subgroups and divisions. This was worth the effort because now the FUND SUMMARY report works beautifully for us! We did finally implement STRIPE and e-receipts - this has gone really smoothly for us. We were nervous about…

We changed our calculation date for distribution to be as of 09/30. So I run the distributions (in sandbox - make sure it's synced) and then copy/paste it into Excel. Then merge onto a letter. We mail the letter but we also add the letter to their fund record (accessible on the fund portal). So we are informing them of the…

I just saw this post so I know I'm a little late to respond. Data collection is cumbersome on both sides. We hear it from our grant committee - "are we getting reports back? What is our impact?" It takes effort on CF staff part to collect all this! We are a smaller community and have a good pulse on the nonprofit landscape…

Marketing and Community Relations Specialist is the title we give a person who does similar things that you do. It was Communication and Admin Assistant before we updated the responsibilities.

I agree with Jesika that the age of fund holders is a barrier to use the Fund Portal. We have chosen not to push it - but keep promoting it and offering a 15 minute tutorial with our staff. I also have a goal to create a training video so they can do it on their own terms too. Perhaps if they see the portal in a neutral…

Hi there. My response is from a small Foundation ($18M in assets, 100 funds, 2.5 staff). We moved to CSuite from FIMS in October 2020. How has your foundation managed internal database work? Are the roles and responsbilities spread out across multiple staff or concentreated within 1 or a few? All 3 staff went through…
