Great webinar today! Our friends from Students First always leave me feeling energized and empowered to keep moving my program forward! This was the first year for my newly re-built, all-inclusive Universal App, so my evaluation forms/processes are not perfect! Many of my scholarships have detailed eligibility criteria in their Fund agreements, but not much to go on selection-wise. What I share below reflects my first steps.

I have many opportunity-specific scoring items, but these are the 4 basic items that all evaluators (the ones who actually log in and used the system!) score on a Likert scale(1=strongly disagree, 5=strongly agree, etc.)

    1. This applicant has demonstrated an impressive track record of hard work, whether in school-related activities, the community, a workplace, or within the family
    2. This applicant's written responses are clear and complete; they fully address the prompts and present a clear view of the applicant as a unique individual.
    3. This applicant has described special circumstances that should weigh heavily in their favor during the selection process.
    4. I strongly recommend this student as a recipient of this scholarship.

@KatieDecker will the slides from today's coffee talk be available? I received a call in the midst of the early part where Julia was talking through her evaluation/rubric information and I'd really like to revisit her points before we move forward in our evaluation process for this year. Thanks!

Here is a copy of the online/SLM Evaluation I created as a baseline for all of our processes for last fall. I had eliminated some items for consistency purposes and redesigned it to flow in the order of our application questions. Additionally, in the setup, I had used branching - if the evaluator indicated they had a conflict of interest, they were not able to view the other questions or proceed with the evaluation. If they responded that they did not have a conflict of interest, then the remainder of the questions became visible for them and they were able to complete the evaluation of the application.

Within some individual processes (say if financial need was not a factor) I did not include an item if it didn't comply with the criteria for the scholarship. Now as we move to the UA for this upcoming cycle, I am looking to do a little more tweaking to help ensure scoring is balanced and makes the most sense. (For scholarships that aren't as academically driven, I want to be sure the evaluation process is reflective of that, to help ensure that the best match comes to the top and not have academic scoring possibly skew the result.)

Thanks again to Foundant for hosting us and to everyone who joined the discussion! We discussed a few different resources during the webinar, including our Quick Guide for Assessing Financial Need and our Student-Centered Self Assessment. Both of these are included in our free resource bundle, which you can access on our website, here. If you have any questions, feel free to email me at julia@studentsfirstconsulting.org or schedule a consultation with our team.

  • What IRS guidelines/rules (that were referred to in the recording) are applicable to non profit foundations for scholarship awards? I understand IRS 501 c 3 guidelines for non profits, but the discussion also made reference to guidelines that impact scholarships. What are those?
