We are just now starting to look at this functionality, and I would love to see examples of others' directories and how they have been used/useful.

We're on a fiscal year of 7/1 to 6/30 and start our budget review process in March.

@jondize I'm in Indiana. Happy to answer questions!
-
@CarolReynolds Yes, the info can be pulled into a spreadsheet (or two) - but I found the process requires combining two spendable reports: one for the last day of our fiscal year (6/30) and then one from the first day of our next, once spendable calculations are loaded (7/1). Of course, this requires us to have NO OTHER…

@KellieUtzinger I've been in both, so I was preeeettty sure I knew what you meant ☺️ @KelleyHoagland We used to send out a letter generated outside of our previous database (FIMS) that had a simple table merged directly into it with the fund and spendable amount information that had been exported. We have since made our…

@KellieUtzinger Do you mean a letter conveying what their spendable balance is for the coming year, after calculation?
-
@CarrieMiller This is an interesting situation! I am curious what challenges/issues you suspect may come up?
-
@KaraGeiger This is what I proposed last year when I was moving to a full-time database wrangling position (I'd been part-time for some years). The title didn't happen (we stuck with Database Manager), but my job is exactly these things. I believe everyone needs a single, dedicated CSuite guru on staff! @JaneLitz you may…

@StaceyRivard Your solution above is what I, as a very conservative database manager, would suggest as a truly best practice. I believe in more data rather than less - and we should always be thinking about any successor staff trying to make sense of things once we are no longer around. Now, to be honest, we historically…

@abbypriceoffermann To address this, I'm trying to talk the powers-that-be in our organization in to only mailing paper statements to fund founders, and requiring that any fund representative or fund advisor must use the Fund Portal to access their fund information. This would effectively cut our twice-annual mailings…

Attached is the fund statement template with letter and glossary that we used for the second of our annual statements in August. We use statement accounts for our reporting, which is why 'Error! Missing test condition' appears for those lines in the statement itself.

@MarnieChristopherson We also have a fiscal year of July 1 - June 30 and had a very similar conversion timeline as @LaurelShulman. HOWEVER, this was last year - 2020 - and we were originally supposed to go live in July, and originally planned to do dual entry through the month of June. Then Covid lockdown hit in late March…

@KellySheridan Let me ask my Programs director - I feel like we do have one or some of these - not exactly the same, but where additional money is provided in excess of the scholarship/tuition award, and I seem to recall a discussion with her about the proper way to inform the recipient about the tax liability for those…

@SidneySuttles I thought you may find this discussion interesting, as well!

@KarenWolf If it helps, the CF from which we adapted our general approach offered a STELLAR bit of advice for anyone attempting this: Start where you are - but you have to start! It's kept me buoyed through this long process - hopefully my experience helps you, as well. Always happy to offer an ear or advice or insight -…
-
Hi @KarenWolf - me again! We began to undertake this type of project a few years back. It is proving a very long, very slow process for us. We are using a few different variables to very generally 'rank' donors already in our database. We've been loosely grouping people in coded categories, depending on their perceived…

@MarieFelver I wanted to come on belatedly and thank you so much for posting your fund statement template examples - we just finished up our annual fund activity mailing, and the learning curve for these templates in CSuite was STEEP. Your examples really helped me out as. I muddled through in January with getting our…
